Press Releases
A press release is an official statement issued to news outlets giving information about a new matter regarding our company. It is a primary way to communicate about our company to the news media. It is a news report written by the company itself about its product, service, event or new development. Effective press releases include information that editors will find newsworthy. Therefore, it should be strictly written in a journalistic framework.
Types of Press Releases
• General news releases: They are the most common type that includes some news on the company, its achievement, and its personnel to generate interest and news coverage.
• Event press releases: They alert the press about events such as a company anniversary, a grand opening ceremony, and a speech by a visiting business leader.
• Product press releases: They are mostly written timely and dispersed when the company releases a new product or an upgraded version of the product.
• Personnel press releases: They focus on staff changes or new recruitments, especially at the executive level.
• Response press releases: They may involve comment, feedback, clarification or follow-up on comments, complaints or appreciations made by others publicly about our company, its products or services.
No matter what type of press release we write, it must be newsworthy timely, relevant, useful, interesting, and prominent. News coverage depends on how we organize our events or time.
Press Release Structure
Press releases are essentially short news reports written in a journalistic format of an inverted pyramid based on 5Ws and H questions concisely and accurately. The language and format used by western and international companies differ from the language and format used by the press release issued by Nepali companies. Globalization of markets and the use of similar technologies in document design have pushed companies towards the following uniform structure of press releases:
• Head: This includes some details that identify the organization (Logo and contact address of organization on top of letterhead). The phrase ‘Press Release’ is included at the top so the editors know immediately what type of document they have received. Next, the released time is specified which is indicated by ‘For immediate release in case it is to be published immediately. But if the press release is to be published after sometime, we write ‘Embargo; ‘xx/ xx/ xx xx (month/ day/ year). Use an effective headline or title of the press release to attract the reader.
• Body: This is the main part of the release so we start with the first paragraph with a lead (5Ws and H) emphasizing the facts quickly. The second paragraph is where we back up the lead with supporting details and evidence. The third paragraph usually consists of a relevant quote from the company spokesperson, executive or expert. And the final paragraph ties back to the beginning of the previous paragraph.
• Tail: Write # # # ( the three numerical signs) cantered on the page to indicate that the press release ends here. A note to the editor specifying the contact name for further information, and contact address (phone/email). If applicable, we may also indicate an attachment of a short profile of our company and photo opportunities.
Let’s see an example of a press release from the Nepal Tourism Board informing about a new development in the tourism industry and another from Standard Chartered Bank and how it starts and uses the quote.

Tourism Service Fee revised after 9 years
KATHMANDU, 27 January 2014 - The Tourism Service Fee (TSF) has been revised from Rs. 500 to Rs. 1000/- (excluding VAT) effective from 1 March 2014. The decision was carried out on the directive of the Executive Committee of Nepal Tourism Board, and approved by the Ministry of Finance,
The TSF will be levied on the outgoing foreign travellers departing from all airports in Nepal. However, it will be implemented only at Tribhuvan International Airport at the present.
Over the last few years, the price rise in the international market coupled with the devaluation of Nepalese currency and stiff competition among destinations have made an increase in the TSF inevitable.
Subash Nirola, acting chief executive of Nepal Tourism Board (NTB) says the increase will enable the NTB to concentrate more on international promotion as well as domestic tourism development.
"With a bigger budget, NTB will now prepare and implement 5 years plan to penetrate the market," he said.
The TSF was introduced in 1999 to fund the promotional activities of NTB levying a 2% service charge on tourism services. The last revision of TSF was made in 2005.
